Primary Objectives:

Office Coordinator will be responsible for helping achieve ALS’ vision of providing the highest level of customer service and professionalism.

Office Coordinator has the following duties:


  • Make all copies for Client services.
  • Make all logbooks.
  • Direct Ozarka and other vendors on where to go or guide them through buildings as necessary.
  • Order food as instructed for guest or meetings.
  • If a delivery shows up and guys in client services do not know where it goes or whom it goes to they call me to handle it.
  • Restock all drinks for fridges in lab and restock all safety glasses.
  • Receive in all packing slips for HFS and dioxins (enter into the requisition system).
  • Go through all mail daily.
  • Fed ex packages as needed.
  • All cards for cooler bins are made by me, cut and paste, laminated and cut again.
  • Get all awards as needed when awards are given out.
  • Answer phones.
  • Revise phone list periodically.
  • Enter bottle order tracking numbers.
  • Assist manager in special assignments.
  • For staff meeting gather new hire/birthday and anniversaries for template given to manager.
  • Other duties as assigned.



Position Requirements:

  • Bachelor’s degree is preferred.
  • 3 - 5 years of assistant experience is required.

  • Highly self-motivated, upbeat, positive, outgoing, personable and able to relate well with diverse populations and age groups.
  • Able to prioritize, meet deadlines and ensure that work flows in an organized manner.
  • High level of accuracy and attention to detail while working on multiple project simultaneously.
  • Investigate assigned problems independently, compile and analyze data and prepare reports using Pivot tables and Excel.
  • Excellent verbal and written communication skills.
  • Communicate effectively with all levels of staff in a manner that promotes a team spirit and a sense of cooperation.
  • Excellent organizational skills and attention to detail.
  • Advanced computer skills, specifically Microsoft Office products including, Excel, Word and PowerPoint.
  • Experience with Visio is a plus.
