Overview

Responsibilities

  • Responsible for assisting with front desk coverage, ensures front desk in not left unattended for extended periods of time;
  • Provide assistance answering and directing incoming calls, take messages when necessary;
  • Assist in conducting safety orientation with visitors;
  • Order and control office supplies for the site;
  • Periodically audit and maintain records to verify, correct, delete, re-enter data and purge files to eliminate data duplication;
  • Manage petty cash account on an as needed basis, for approval;
  • Complete monthly operating report to replenish petty cash account;
  • Process requests for fuel card access for new drivers, lost cards, new vehicles;
  • Maintain accurate fuel card and vehicle logs;
  • Maintain vehicle registration logs;
  • Run daily production reports;
  • Assist Managers and other staff to complete expenses reports as needed;
  • Maintain and update business licenses and permits;
  • Assist Client Services with conference registration and set up;
  • Maintain contractor management information;
  • Ensure DOT, DMV, and MSHA compliance;
  • Follow SOP for purchasing;
  • Receive and code invoices appropriately for accounts payable processing;
  • Book travel arrangements;
  • Assist with meeting setup and coordination;
  • Schedule applicant interviews and tours;
  • Assisting in completing reference checks in the hiring process;
  • Conduct new hire orientation;
  • Assist in making copies of new hire orientation packets;
  • Process area specific payroll;
  • Construct new hire benefits packets;
  • Complete employee training logs monthly;
  • Assist in auditing employee training records;
  • Monitors and audits employee testing and training records to ensure recertification before expiration;
  • Tracks and schedules annual physical and blood tests to ensure compliance;
  • Organize and assist in facilitation of on-going employee training;
  • Assist in organizing and planning employee functions such as company picnics and holiday parties;
  • Assist with social committee functions;
  • Responsible for administering employee bus program;
  • Assist with set up, activation and deactivation of security alarm codes and door access cards ;
  • Maintain a positive work environment through active team participation and a focus on quality customer service;Observe established safety regulations and comply with all ALS health and safety policies and procedures;
  • Other duties as assigned.

Qualifications

  • Strong customer service focus, interpersonal and organizational abilities;
  • Pleasant and professional telephone manner;
  • Excellent English communication skills both written and verbal;
  • Fluency in Spanish would be a strong asset;
  • Excellent computer skills including Microsoft Word/Excel/PowerPoint/Outlook.

Required Qualifications

  • Minimum of 1 years office related experience or reception experience;
  • Completion of an office administration certificate or diploma preferred;
  • Some HR and benefits background would be an asset;
  • Kronos experience would be an asset;
  • Some knowledge or background in Chemistry and/or Geology would be an asset.  

Physical Demands

  • Ability to sit at a desk and do general office work, which includes periodic sedentary responsibilities;
  • Reaching by extending hand(s) or arm(s) in any direction;
  • Ability to sit at a desk and do general office work, which includes periodic sedentary responsibilities;
  • Finger dexterity required to manipulate objects with fingers. Example, using a keyboard.
