Overview

General Accountability:

The primary purpose of this position is to be responsible for directing and coordinating the activities of administrative personnel in the Sample Management Group, comprised of the sample receiving and customer service departments. Will work closely with the Analytical Staff, Sales and Marketing Department, Field Services, and the IT Department

Responsibilities

Specific Responsibilities:

  • Assists with the day-to-day activities in the customer service and receiving areas as warranted due to absences or high sample volume.
  • Ensures that new clients and/or profiles are set-up in the LIMS in a timely and accurate manner.
  • Oversee sample disposal and continually investigate means to streamline this process.
  • Improve the accuracy and efficiency of the sample log-in process with the goal of minimizing COC review time.
  • Knowledgeable in “Sample Receiving” and able to monitor high volume and staff absences to ensure constant and consistent service in this area.
  • Familiar with operating all equipment required to perform duties.
  • Will work closely with management to stay within budget constraints.
  • Maintaining an acceptable turnaround of tasks or results within the section, including meeting holding times. Additionally, will contribute to efficiencies in this area on continual basis. 
  • Ensuring all duties within the section are conducted in accordance with the Quality Procedures Manual. Keeping up to date with changes in methodology within the section. Will work with QA to update SOP’s and manuals as necessary. 
  • Work closely with the IT Department as required to implement new technologies and to resolve problems that delay the overall process of logging in samples to LMIS.
  • Will be continually familiar with existing customer base and be actively involved with new clients to ensure constant communication of the client needs from the field to the lab.
  • Work closely with Customer Service, clients, and the Quality Assurance (QA) Department to identify means to improve client COC paperwork submissions. The process goal to be reducing time required to identify client needs and ensure continued compliance with our corporate QA program and standards.
  • Work with other supervisors, managers and Laboratory Directors to achieve client satisfaction on TAT, improve and maintain relationships to other sections.
  • Have a working knowledge and understanding of the ALS quality management system
  • Will keep informed of Field Service staff activities to ensure adequate staffing relative to sample load and delivery schedules.
  • Be aware of requirements for laboratory competence
  • Other duties as assigned.

Qualifications

 Required Knowledge, Skills & Abilities:

  • Must be able to work independently with minimal supervision.
  • Skilled and experienced in supervising and directing the activities of a diverse staff of 10 technical and nontechnical employees.
  • Strong Customer/Client interaction skills and experienced in client contact; able to create innovative solutions to customer challenges
  • Strong computer skills with knowledge in Excel, Microsoft Word, and other industry specific software. Horizon LIMS experience required.
  • Skilled in evaluating and motivating staff to create an environment of team work and growth opportunities for each team member.
  • Excellent English verbal and written communication skills with the ability to communicate well with staff, management and clients.
  • Skilled and experienced in creating and maintaining productive relationships in a confident and sensitive manner when dealing with people at all levels.
  • Experienced and skilled at treating others with cooperation and respect, and be able to understand and value both internal and external customers.
  • Able to take ownership for meeting goals and objectives; willing to be accountable for own decisions, and willing to give 100%. Look for new ways to accomplish objectives.
  • Multi-tasked, organized, detail oriented, and possess excellent problem solving capabilities; will have good time management capabilities

 Required Qualifications:

  • BS is preferred.
  • AA is required.
  • 4 - 10 years of laboratory experience is preferred.
  • 1 + year of supervisor experience is preferred.

Physical Demands:

  • The ability to speak and hear clearly while communicating with staff, management, and clients.
  • Ability to sit and/or stand for 100% of an 8 hour day.
  • Dexterity in hands and fingers to operate computer and other equipment.
  • Average vision and ability to see to read reports and operate equipment.
