Responsibilities

General Accountability:

The Corporate Coordinator’s primary responsibility is to provide adminatrative support for Reno operations and to provide assistance in Human Resources.This position will work in a safe manner in accordance with the ALS Health and Safety Program.

  Specific Responsibilities:

**** FLUENT SPANISH IS A REQUIREMENT OF THIS POSITION**** 

  • Process and edit payroll for Reno Prep department;
  • Enter and track client payment data for timely processing;
  • Mail out vendor checks as needed to Vancouver;
  • Inform Reno Lab Manager of employee time off requests through Outlook calendar invites;
  • Schedule new hire exams and training as needed; physical, PFT, DOT, audiogram, blood lead testing, etc;
  • Record medical exam information onto spreadsheet for appointment tracking;
  • Review Doctor’s certification to determine fitness for duty;
  • Run monthly training reports;
  • Prepare site safety paperwork for contractors including forms, insurance, and documents;
  • Maintain and control petty cash account;
  • Provide drug testing forms and other orientation information to new hires;
  • Complete new hire benefit eligibility enrollment letters;
  • Assist in processing benefit enrollment, changes, and cancelations;
  • Assist with 401K setup and enrollment;
  • Conduct employment verifications;
  • Assist in advertising and recruiting;
  • Assist with prehire paperwork, offer letters, job descriptions, etc.;
  • Complete E-Verify for new hires within three days;
  • Files employee paperwork and other various paperwork as needed;
  • Audit employee files as needed;
  • Process new hire, status change, and termination paperwork, including final payment processing;
  • Manages employee bus program and Shoes for Crews
  • Ensure employee system access is canceled upon termination of employment;
  • Verifies, corrects, deletes, re-enters data and purges files to eliminate data duplication;
  • Processes a variety of paperwork;
  • Assist with employee relations issues as translator;
  • Maintain a positive work environment through active team participation and a focus on quality customer service;
  • Processes insurance invoices;
  • Maintains spreadsheet of termations for COBRA compliance;
  • Participate in Health and Safety meetings and activities;
  • Assisting in the hiring process, including training and record maintenance;
  • Observe established safety regulations and comply with all ALS health and safety policies and procedures;
  • Other duties as assigned.

Qualifications

 

 

 

  • Minimum of 1 years office related experience or reception experience;
  • Completion of an office administration certificate or diploma preferred;
  • Some HR and benefits background would be an asset;
  • Background in Chemistry and/or Geology would be an asset;
  • Ability to sit at a desk and do general office work, which includes periodic sedentary responsibilities;
  • Reaching by extending hand(s) or arm(s) in any direction;
  • Finger dexterity required to manipulate objects with fingers. Example, using a keyboard.
