Overview

Accounts Payable Specialist

Location: Houston, TX

Reports To: Accounts Payable Manager

Work Arrangement: Onsite initially, transitioning to hybrid

 

Position Summary

We are seeking a detail-oriented and proactive Accounts Payable Specialist with experience in Beanworks and ERP systems to join our dynamic finance team. This role is responsible for processing high volumes of supplier invoices, credit memos, purchase orders, and non-PO invoices with accuracy and efficiency. The ideal candidate thrives in a fast-paced environment, demonstrates initiative, and contributes to continuous process improvement.

 

Key Responsibilities

· Process high-volume supplier invoices and credit memos accurately and timely.

· Manage purchase order (PO) and non-PO invoices, recurring invoices, and spreadsheet uploads.

· Utilize Beanworks and ERP systems for invoice processing and workflow management.

· Ensure proper coding, approvals, and documentation for all transactions.

· Reconcile vendor statements and resolve discrepancies.

· Negotiate payment arrangements and maintain positive vendor relationships.

· Maintain confidentiality and exercise sound judgment in handling sensitive information.

· Suggest and implement process improvements to enhance efficiency and accuracy.

· Investigate and resolve root causes of recurring issues to prevent future occurrences.

· Adapt to changes in organizational structure, software, and procedures.

· Collaborate effectively with internal departments and external vendors.

· Perform basic technical tasks such as connecting computers to Wi-Fi and monitors.

 

Qualifications

· 4–7 years of accounts payable experience, preferably in a high-volume environment.

· Proficiency in Beanworks and ERP systems (e.g., SAP, Oracle, NetSuite).

· Strong organizational skills and attention to detail.

· Excellent verbal and written communication skills.

· Ability to multitask, prioritize, and work under pressure.

· Positive attitude and team-oriented mindset.

· Problem-solving skills with a focus on root cause analysis.

· Basic technical proficiency and comfort with troubleshooting minor IT issues.

· Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
